Sign shop software that works with QuickBooks
Published · Updated
Grommetbook works with QuickBooks today through a CSV export, not a live sync. Your AI assistant runs export_invoices_csv and you import the file into QuickBooks as invoices. Direct QuickBooks Online invoice push is coming soon and is not live yet. It depends on how many jobs you invoice: for a few a week, an import is a small step. If you need a live QuickBooks or Xero sync now, shopVOX Express or SignTracker is the better choice for that part.
What works today
- Ask your AI assistant: "export this month's invoices". It runs
export_invoices_csvand returns a download link. - The file has one row per invoice line, for Jobs in the Ready, Installed/picked up or Invoiced stage. You can filter by date or stage.
- You import the file into QuickBooks as invoices, then send and collect payment there as usual.
The columns are:
| Column | What goes in it |
|---|---|
InvoiceNo | The Job number |
Customer | The Customer name on the Quote |
InvoiceDate | The date the Job was last updated |
Item(Product/Service) | The Product name |
ItemDescription | The line description |
ItemQuantity | Quantity |
ItemRate | Unit price |
ItemAmount | Line total |
TaxAmount | The Quote's tax, on the first line of each invoice |
Tip: make Customer names match the names in QuickBooks, so the import doesn't create duplicates.
Coming soon: direct QuickBooks Online push
Direct invoice push to QuickBooks Online is coming soon. It is not live yet. When it is, your assistant will connect QuickBooks once, and "invoice the Joe's Pizza job" will create the invoice in QuickBooks and move the Job to Invoiced. Until then, use the CSV. We will update this page when it ships.
Getting your data out
Apart from invoices, export_shop_data exports everything your shop has in Grommetbook as JSON: Materials, Rates, Products, Customers, Quotes, Jobs and history.
How other sign shop software handles QuickBooks
- shopVOX Express lists QuickBooks Online and Xero integrations (pricing page, November 2026).
- SignTracker lists QuickBooks as its integration.
- CoreBridge says estimates, orders and payments flow into QuickBooks Online.
- Spreadsheet + QuickBooks: many small shops simply build the estimate in QuickBooks and convert it to an invoice.
If a live accounting sync matters more to you than price or AI setup, those tools are the better choice today. See the comparison.
What you give up
No live QuickBooks sync yet, no QuickBooks Desktop connection, no Xero, no payment or deposit collection, and sales tax as a flat rate rather than automatic calculation.
